Hawaii Travel Bureau Terms and Conditions

1. General

Deposit: For bookings made more than 45 days before departure, $50 per person deposit ($100 for travel between Dec 15 and Jan 6) is due within 5 days of booking to hold your reservation.

Final Payment: Final payment is due 45 days before departure (60 days for travel between Dec 15 and Jan 6). For bookings made less than 45 days before departure, full payment is due within 5 days of booking. For booking made less than 21 days before departure, full payment is due at the time of booking.

Prices: Prices are subject to change without notice unless paid in full. All applicable taxes are included in Hawaii Travel Bureau airfare, hotel, car rental and tour prices. Resort fees are not included in the hotel rates and will be charged to your room by the hotel directly.

Forms of Payment: Visa, Discover, Mastercard, American Express, cashier's check, money order, or personal check (personal check must be received at least 21 days before departure date to allow time for clearance). Please note: $50 fee will be imposed on credit card chargebacks, returned checks and changes to forms of payment after payment is applied.

Documents: Documents will be issued within 4 weeks after full payment is received, or as soon as possible if the departure date is less than 4 weeks away.


2. Trip Protection Insurance

Cancellation/Change Penalty Waiver
   You can avoid all change or cancellation penalties by purchasing our low-cost Cancellation/Change Penalty Waiver.

Cost:
   $49.00 per person on land-only reservations (hotel and/or car rental and/or tours)
   $59.00 per person on air and land package reservations (airfare and/or hotel and/or car rental and/or tours)

Requirement:
   Has to be purchased at the time of initial payment and for the entire party.

Details:
   Cancellations before departure - full refund on air and land reservations.
   Changes before departure - the waiver covers unlimited hotel and car changes but only one change of airfare. If you change the airfare, the waiver becomes void, but you do have an option of re-purchasing it for continued trip protection.
   Cancellations after departure - full refund on unused land reservations. On reservations involving 5th night free or similar hotel specials, or weekly rates for car rentals, the used portion will be charged at regular published daily rates, and the difference will be refunded. Airfare cannot be refunded after departure date and any change has to be made directly through the airline and will be subject to airline fees and penalties.
   Christmas/New Year Travel - waiver is not available for travel 12/16-01/06.


3. Change/Cancellation Policies

Change Policy (if you did not purchase Cancellation/Change Penalty Waiver):
   All changes are subject to availability and will be priced using the rates in effect at the time of change (i.e. if you have booked a short-term special rate that is no longer offered, any change to the reservation will result in repricing at different rate).

   Change fee will be waived if change increases booking price by more than $100, except for any hotel fees.

Cancellation Policy (if you did not purchase Cancellation/Change Penalty Waiver):
   Cancellation is defined as a change to the departure date, a change in name, a reduction to the number in the party, and/or termination of the entire trip.

After Departure No refunds can be made for travel package services you decline to use after departure unless Cancellation/Change Penalty Waiver is purchased.

Note - Christmas/New Year Travel
   If you are traveling between 12/16-01/06, you will be subject to higher holiday season change and cancellations penalties, which are determined on a case-by-case basis, depending on the holiday season cancellation policies of the airlines and hotels booked.

Refunds
   Refund for change or cancellation made before departure will automatically be processed within 30 days. If documents have been issued, you will need to return them before a refund may be issued. Refund will be issued in the original form of payment (i.e. credit card, check, etc.).

   If during your vacation you decide not to use some of booked arrangements, you will be eligible for a refund only if you have purchased Cancellation/Change Penalty Waiver. To request a refund for the travel services you have declined to use after the departure date, you must submit a letter to Hawaii Travel Bureau, accompanied by all negotiable vouchers and airline tickets, via email, mail or fax within 30 days of your return date. A refund will normally be processed within 30 days but may take longer as Hawaii Travel Bureau needs to receive a response from each individual vendor confirming that you have not used the travel services that you are requesting a refund for.

4. Other

Air Transportation:
   As part of our air contracts, Hawaii Travel Bureau may only sell airfare in conjunction with land packages. Minimum land requirements vary by the airline and departure city, and range from 2-day car to 3-night hotel. If you do not need any land reservations, minimum land fee will be added to the airfare price. Your Hawaii Travel Bureau consultant will explain all the details.

   Hawaii Travel Bureau passengers are subject to all airline limitations, liabilities and tariffs. You must check in at least 2 hours prior to the scheduled flight departure and report to the gate at least 30 minutes before the flight departure time. All air carriers booked by Hawaii Travel Bureau shall be liable only as common carriers to Hawaii Travel Bureau passengers. Regular scheduled flights will be used, however, Hawaii Travel Bureau, does not guarantee any specific flight schedule, weather conditions, airline strikes, etc., and will not be reponsible for the lack of adequate connections, delays or changes of schedules. You must contact the airlines 24 hours before departure to reconfirm flight schedule.

Car Rentals:
   Car rentals are based on a 24-hour period and have unlimited mileage. Car rental companies will require a valid driver's license and a credit card in the renter's name. Overtime is subject to additional fees. The renter is responsible to pay for fuel and other optional services, such as upgrades, insurance, young driver fee (for drivers 21-25 y.o.), additional driver fee, etc., directly to the car rental company. There will be drop charges assessed for car rentals returned to alternate car rental stations. State law requires child seats for all children under the age of 6.

Special Requests:
   All requests for special bedding, location within a hotel, smoking/non-smnoking rooms, etc., or regarding physical conditions that require special attention must be advised to Hawaii Travel Bureau whenthe reservation is made, and will be communicated to the vendors. Requests will be subject to availbility at the check-in and cannot be confirmed prior to departure.

Not Included:
   Porterage, gratuities, meals (except where otherwise noted), telephone calls, and any other items of personal nature.

Responsibility & Limitation of Liability:
   Hawaii Travel Bureau is a company organizing travel and vacation packages only. We do not control or operate any airline, hotel, transportation, or tour companies. We carefully select the services included in your vacation package but cannot be held responsible for any injury, death, loss or damage which is caused by the acts or omissions of the vendors. Participation in the tour, any activity or service suggested, is entirely at the passenger's risk. By booking with Hawaii Travel Bureau, you acknowledge that in any event Hawaii Travel Bureau will not be liable for any consequential damages and the extent of Hawaii Travel Bureau's liability shall never exceed the amount you actually paid to Hawaii Travel Bureau. Hawaii Travel Bureau reserves the right to cancel or alter any vacation package itinerary as may be found necessary for the proper handing of said vacation package. The information, rates, and terms and conditions contained on this Web site are accurate at time of publication and are subject to change without notice.
